Building lists from GoHighLevel

Campaigns dial from lists that live in the dialer, not in GoHighLevel. Two buttons on GoHighLevel’s own contacts screen are how contacts get from one to the other.

Both need you signed in to the dialer — if you aren’t, the buttons appear but nothing happens when you click them. Neither one opens the dialer bar; they open a dialog over a dimmed GoHighLevel page, and put it away again when you’re done.

Add to List

Tick some rows on a GoHighLevel contacts or smart-list screen. GoHighLevel’s selection bar appears — “3 Contacts Selected”, Select all, and so on — and just after Select all there’s a blue Add to List.

Click it with nothing ticked and the button tells you so: Select contacts first. If you have ticked rows but none of them carry a number the dialer can call, it says No usable numbers instead — same click, different problem.

Otherwise a dialog opens: Add 3 contacts to a list, with Pick the manual list to add the selected contacts to. underneath and your lists below that, each with its current size. Pick one and press Add 3.

If your account has no lists to add to yet, the box reads No manual lists — create one in Admin → Lists. See Lists.

Add all matching this view

When the view you’re on holds more contacts than you’ve ticked, a second button appears: Add all 842 matching this view. That adds every contact the current filter matches — not just the rows on screen — and hovering it says as much: Add every contact matching the current view’s filter.

This is how you load a whole filtered view in one go, without scrolling and ticking. Before the dialog closes you’ll briefly see Added and a number — how many contacts actually went in, which isn’t always the number on the button.

This is a one-time copy, not a link

Both the plain add and Add all take a snapshot of who matches right now. Contacts added to GoHighLevel later — or contacts that stop matching your filter — will not appear in or disappear from the list. For something that keeps itself in step, use Link smartlist below.

Link smartlist

The second button lives in the toolbar that’s always on a contacts screen, just after Sort — a dark blue Link smartlist. It needs no selection.

It links the whole smart list you’re looking at, as a list that keeps itself in step with GoHighLevel: as contacts start and stop matching the smart list’s filters, the dialer’s copy follows.

Click it and you get Link smart list, with Create a live-synced list from “Hot Leads — Q3” (842 contacts). underneath, and a List name box already filled in with the smart list’s name. Change it if you like, then press Create list.

If the button says Open a smartlist first, the dialer hasn’t seen the current view’s filters yet. Pick a saved smart list, or apply a filter, and try again — the filter has to run once before it can be linked.

If GoHighLevel’s filter can’t be reproduced, the dialog stays open and says so rather than creating a list that would sit empty.

That last row is the one that catches people. A linked smart list is defined entirely by its filters, so contacts you push into it by hand get removed again the next time it syncs. Add to List only ever offers you lists you can actually add to.

What happens next

Nothing dials just because a contact is on a list. A list has to be attached to a campaign before its contacts are called, and that’s done in the admin area under Lists and on the campaign itself — see Campaigns.
